This privacy policy explains how Wroote (“we”) handles personal data within the EuroChat platform and this website. We process personal data in accordance with the General Data Protection Regulation (GDPR).
Data controller
Wroote is the data controller for the personal data processed through this website. For EuroChat deployments at government organisations, Wroote acts as a data processor and the organisation concerned is the controller. You can address privacy questions to our privacy officer at privacy@wroote.eu.
What data we process
Depending on your use, we process: contact details you provide yourself (name, email address, organisation) when you contact us or sign up for a demo or pilot; account and authentication data within EuroChat (username, organisation, role); and technical data necessary for the operation and security of the service (such as IP address and log files). We limit processing to what is necessary (data minimisation).
Purposes and legal bases
We process personal data to respond to your contact or demo request (legitimate interest or performance of a contract), to deliver, secure and manage the EuroChat service (performance of a contract), and to comply with legal obligations including archiving and compliance requirements for governments (legal obligation). We do not use your data for profiling or automated decision-making with legal effects.
Retention periods
We do not retain personal data longer than necessary for the stated purposes or than legally required. For government archiving, the retention periods prescribed by the organisation concerned and the Dutch Archives Act apply. Contact details from enquiries are deleted once they are no longer needed.
Disclosure to third parties
We do not disclose your data to third parties for commercial purposes. We only engage processors that comply with the GDPR and that process data exclusively within the European Union. We conclude data processing agreements with these processors.
No transfers outside the EU
EuroChat is designed as a European-sovereign solution. Personal data is stored and processed exclusively within the European Union. We do not use cloud services from providers outside the EU.
Security
We apply appropriate technical and organisational measures to protect personal data, including transport encryption, role-based access control, audit trails and integrity verification. Security and privacy are guiding principles in the design (security and privacy by design).
Your rights
You have the right to access, rectification, erasure, restriction and portability of your personal data, and the right to object to processing. You can exercise these rights via privacy@wroote.eu; we respond within the statutory period. For data we process as a processor on behalf of a government organisation, please contact that organisation.
Cookies
This website uses only functional and strictly necessary cookies. We do not use third-party tracking or advertising cookies.
Changes
We may update this privacy policy. You will always find the most recent version on this page, with the date of the last change.
Filing a complaint
If you disagree with how we handle your data, please contact our privacy officer at privacy@wroote.eu. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
